Own-account import and export

Own-account import and export is the model in which a company buys goods outright and imports or exports them in its own name, recognising revenue on a gross basis. Tranexio links contracts, shipping, customs, letters of credit, payments, export tax refunds and accounting in one chain, enabling refunds automatically for exports and covering L/C issuance and landed costs for imports.

Key points

  • End-to-end shipping

Shipping plan, booking, container plan and packing list, space release and container pick-up, sealing and sailing follow a fixed sequence; any resequencing needs dual sign-off and a clear decision on who bears the cost.

  • Declarations derived from packing lists

Declaration line items are derived from packing-list data, mandatory elements and consistency are checked before filing, and manual overrides leave a trail.

  • Tax refunds enabled for exports

For exports under general trade, the refund is enabled automatically by rule and the declaration, input invoices, FX receipt and shipping documents are assembled.

  • Import L/Cs and landed cost

Imports support L/C issuance, amendments and payment against documents. Duties, import-stage taxes and freight, insurance and port charges are estimated, recorded and allocated to cost item by item.

  • Payments and credit

Receipt matching, payment requests and payment execution are separated into tiers, while credit limits and export credit insurance limits are consumed in real time at key steps.

The problem

Own-account import and export involves sales, documentation, customs and finance staff. Shipping steps are chased in group chats, declarations and packing lists are keyed in twice, missing invoices for the tax refund surface only just before filing, and import costs are not allocated until month-end.

What the platform does

Step How Tranexio handles it
Contract and order International contracts record Incoterms, port of loading and destination, payment terms and the exchange-rate basis
Shipping Shipping plan → booking → container plan and packing list → space release and container pick-up → sealing
Customs Declarations are derived from the packing list and their status is updated from Single Window receipts; see Customs and Single Window
Documents Commercial invoices, packing lists, bills of lading and more are generated from templates, with attachments filed centrally
Payments Letters of credit, collections and telegraphic transfers; receipt matching and tiered payment execution
Tax refund Enabled automatically for exports; see Export tax refund
Accounting Journal entries are generated on business confirmation; import costs are allocated to inventory cost

Key controls

  • Counterparties, carriers and banks are screened against sanctions lists before contracting and shipping.
  • Credit and credit insurance limits are consumed in real time at order, shipment and payment.
  • Declarations, FX receipts and tax refunds are reconciled three ways, with alerts for items unmatched past their deadline.
  • Every document number opens a read-only detail view, so you can trace from contract to journal entry.

Frequently asked questions

How does the export tax refund work for own-account exports?

For exports under general trade, the system enables the refund automatically. Following the exempt-and-refund method for trading companies, it assembles the declaration, special VAT input invoices, FX receipt evidence and shipping documents, flags anything missing as “to be supplied”, calculates the refundable amount and transfers the difference between levy and refund rates to cost. Filing through the electronic tax bureau is supported via a connector.

Do we have to key in the customs declaration again?

No. The declaration header comes from contract and shipping data, line items are derived from the packing list and HS codes come from the product compliance record. Elements and consistency are checked before filing, and any field changed by hand is logged.

Can import duties and fees be included in the cost of goods?

Yes. Duties, import VAT and freight, insurance, port, warehousing, inspection, agency and bank charges for an import shipment can each be estimated, recorded at actual and allocated to batches, flowing into inventory cost and order profit and loss.

Can we apply credit insurance and hedging at the same time?

Yes. Export credit insurance, hedging and open-account sales are overlay capabilities that can all sit on the same own-account export. Buyer limits, hedge relationships and credit limits are each consumed separately without conflict.
