Logistics, shipping and trade documents

Logistics, shipping and document management in Tranexio links shipping plans, booking, container stuffing, space release, sealing and multimodal tracking into one chain. Commercial invoices, packing lists and other documents are generated from the same shipping data – for logistics staff, documentation clerks and order coordinators.

Key points

  • End-to-end shipping state machine

    Shipping plans, booking, container plans and packing lists, space release and container pick-up, and sealing all advance through a state machine, with an owner and deadline at each step.

  • Container plan and packing list kept apart

    The container plan records how goods are meant to be loaded; the packing list records what was actually loaded. Each is its own document and differences are compared automatically.

  • Dual sign-off for rescheduling

    Rescheduling a confirmed shipping milestone requires confirmation from both parties, and the reason and who bears the cost are recorded.

  • Multimodal transport legs

    One shipment can be split into ordered legs – sea, rail, road, barge and more – with milestones, costs and carriers tracked per leg.

  • Forwarder quotes and settlement

    Request and compare quotes from several forwarders, rate them, and after freight is costed generate forwarder settlement and reconciliation, with costs assigned to the order automatically.

The problem

Shipping involves sales, logistics, forwarders, warehouses, customs brokers and finance. Typical problems:

  • booking, stuffing and customs each have their own spreadsheet, and container numbers, seal numbers, packages, gross weight and volume are copied by hand in several places;
  • the container plan changes but the packing list and declaration do not, and inconsistent documents lead to rejections or amendments;
  • milestones for multi-leg transport sit in carriers’ systems, so finding the cargo means asking each carrier in turn;
  • freight and local charges are totalled only afterwards, so order profit is inaccurate.

How Tranexio handles it

  1. Shipping plan: generate the shipping plan from the sales order, fixing the sailing and upstream deadlines such as the SI, port and customs cut-offs.
  2. Booking: request and compare forwarder quotes, then book; the booking advances through its state machine, and confirmed space is written back to the shipping plan.
  3. Stuffing and packing: start with a container plan, then generate the packing list after actual loading; the system compares the two, and the customs declaration is derived from the packing list.
  4. Space release, pick-up and sealing: a dispatch release gate checks warehouse readiness, compliance screening and payment conditions, and only then releases the shipment.
  5. In-transit tracking: milestones are recorded per leg using multimodal transport segmentation, and milestones such as departure and arrival can trigger downstream documents automatically; the platform supports connecting schedule and tracking data sources.
  6. Document preparation: commercial invoices, packing lists, bill of lading details and certificate of origin data are generated from the same shipping data, with attachments archived against the order.

Key controls

Control How it works
Release gate Nothing is released until warehouse readiness, compliance screening and payment conditions are met
Single source for documents Invoices, packing lists and declarations draw on the same shipping data, and manual edits leave a trail
Rescheduling trail Rescheduling a milestone requires dual sign-off and records the reason and who bears the cost
Tracking data minimisation Coordinates for overseas legs are reduced in precision, and driver and other personal data are discarded
Cost assignment Freight, port charges and demurrage are assigned by order and flow into order P&L

Multiple document views for complete-machine exports (per shipment, per container or per unit) are on the roadmap.

Frequently asked questions

Why keep the container plan and the packing list separate?

Because plans and reality often differ. The container plan is used for booking and container allocation; the packing list records what was actually loaded and is the basis for the customs declaration. Keeping them apart lets the system compare the two automatically and stops planned figures going straight into the declaration.

Can rail and road legs be tracked as well as sea?

Yes. One shipment can be split into sea, rail, road, barge and other legs, each with its own carrier, milestones and costs, all visible end to end on one screen. External tracking data comes in through the integration hub.

How does forwarder freight get into cost?

Once freight is costed and confirmed, a forwarder settlement is generated and reconciled with the forwarder. Costs are assigned by order and flow automatically into order P&L and inventory cost; confirmation pushes the journal entry to finance, so order profit no longer waits until month end.

Can documents be generated automatically?

Yes. Commercial invoices, packing lists and other documents are generated from shipping data using templates, with every field drawn from the same source, cutting discrepancies caused by manual copying. Generated documents and attachments are archived against the order.
