Letters of credit and collections

Letter of credit and collection management in Tranexio helps importers and exporters run issuance, amendment, presentation, acceptance and payment end to end. Soft-clause detection rules flag risky terms early, and each credit is linked to contracts, shipments and payments – for documentation clerks and treasury staff.

Key points

  • End-to-end import issuance

    From the issuance application, choice of issuing bank, supporting documents and margin, through submission to the bank, acknowledgement checks and amendments – step by step from the applicant's side.

  • Export presentation and import retirement

    Prepare presentation documents to the credit's requirements and track negotiation, acceptance and payment; on the import side, track arrival of documents, acceptance and payment.

  • Soft-clause detection

    A built-in rule library flags, by risk level, clauses the beneficiary cannot satisfy independently, prompting an amendment request or a risk assessment.

  • Discrepancy handling

    Discrepancies raised by the bank, how they were handled and the outcome are recorded, building experience for future LC checks.

  • Linked to business documents

    Each credit is attached to its contract and order, and shipping documents, payments and margin are automatically linked to the same credit.

The problem

Most of the risk in letter of credit business hides in the detail:

  • soft clauses in an incoming credit go unnoticed until presentation, when it turns out they cannot be met independently;
  • presented documents do not match the credit, producing discrepancies that lead to refusal or fees;
  • issuance documents, margin and bank acknowledgements are scattered across email and paper, and nobody counts amendments or their cost;
  • credits are disconnected from contracts, shipments and receipts, so treasury cannot tell when payment for a shipment will arrive.

How Tranexio handles it

  1. Examine the credit: on receiving a letter of credit, enter the key terms; the system checks them clause by clause against the soft-clause library and flags risk levels and suggested actions.
  2. Issue (import): prepare the document checklist and completeness status to the issuing bank’s requirements, record margin, check the bank’s acknowledgement against the application after submission, and raise amendments where needed.
  3. Present (export): generate presentation documents from shipping data, check them against the credit terms, submit them to the bank, and track negotiation, acceptance and payment.
  4. Collections: for business paid by collection (D/P and D/A), track dispatch of documents, acceptance and payment on the contract and receipt schedule.
  5. Settle: on receipt or payment, draw down the credit balance, release the margin and write the result back to the contract and order fulfilment status.

Key controls

Control How it works
Soft-clause warning Clauses are flagged by risk level against the rule library; high-risk clauses need approval before acceptance
Document completeness Issuance documents are checked against the issuing bank’s checklist; incomplete applications cannot be submitted
Acknowledgement check The bank’s acknowledgement is checked item by item against the application, with differences prompting an amendment
Balance control The available balance is reduced in real time by presentations and payments; over-presentation is blocked
Document consistency Presentation documents are drawn from the same shipping data, reducing discrepancies

Frequently asked questions

Can the system detect soft clauses automatically?

It applies rule-based detection. A built-in soft-clause rule library is checked clause by clause when a credit is examined, with each hit flagged by risk level so the documentation clerk can decide whether to request an amendment. The library can be maintained from your own experience, and the final call is always made by a person.

Can the system remind us what an import LC application needs?

Yes. The system keeps a document checklist per issuing bank, checks completeness when the application is raised and shows what is missing. Margin and bank acknowledgements are recorded and checked in the same workflow, and incomplete applications cannot be submitted to the bank.

Can it handle documentary collections too?

Yes. Collections (D/P and D/A) are recorded as a payment method on the contract and receipt schedule. The system tracks dispatch of documents, acceptance and payment, clears the receivable automatically when funds arrive, and raises a risk alert when payment is overdue.

How are letters of credit linked to receipts and payments?

Each credit is attached to its contract and order. Presentation, acceptance, receipt of funds or payment all update the credit balance and generate the matching receipt or payment document, and the cash plan shows the expected date of funds.
