Finance-business integration and journal entries

Finance-business integration in Tranexio is how accounting happens: as soon as a business document is confirmed, configurable posting rules generate the journal entry. There is no month-end “select and transfer” step, so business and ledger figures agree and every entry traces back to its source – for finance managers and accountants.

Key points

  • Accounting on business confirmation

    Goods receipts, goods issues, invoicing, receipts and payments create an accounting event and journal entry on confirmation – no more month-end batch selection and transfer.

  • Accounts mapped by trade model

    Own-account, agency, processing and other trade models each have their own account mapping, so the same document type posts different entries under different models automatically.

  • Inventory costing

    Multiple costing methods, goods in transit to customers and impairment provisions are supported, with landed freight and import taxes and fees capitalised into inventory cost.

  • Month-end close control

    The close console checks each closing condition; once closed, the period is locked, and reopening requires approval and leaves a trail.

  • Trace back from the entry

    Trace any journal entry to its business documents and contract, see all entries for a contract, and reconcile any business–finance differences.

The problem

Traditionally the business system “transfers” documents to finance at month end, and finance then selects which ones to turn into entries:

  • people decide what gets transferred, so the ledger and the business never quite agree;
  • agency business is booked gross and processing costs are allocated wrongly, then adjusted after the fact;
  • month-end close waits for every department to catch up on paperwork, so closing takes too long;
  • when auditors ask where an entry came from, the answer is buried in several systems.

How Tranexio handles it

  1. Accounting events: confirming a business document creates an accounting event carrying the trade model, legal entity, currency and analytical dimensions.
  2. Posting rules: finance-business integration rules are configured as “event → account → amount → dimension” and differ by trade model; agency business recognises agency fee revenue on a net basis.
  3. Entry generation: journal entries are generated automatically by rule; failed events go to a compensation queue for retry, and the message history is retained.
  4. Inventory and cost: the inventory costing engine calculates receipt and issue costs, goods in transit to customers and impairment provisions; hedging effects and allocated futures P&L can flow into order P&L.
  5. Push to the general ledger: the integration hub provides finance connectors that can connect to general ledgers such as Yonyou, Kingdee, SAP and Oracle, with support for parallel ledgers, manual handling of missing mappings and reversals.
  6. Month-end close: the close console checks for unconfirmed documents, entries not yet generated and open differences, then locks the period once closed.

Key controls

Control How it works
No selective transfer By design there is no month-end “select and transfer” step
Limited manual intervention Manual handling such as missing mappings and reversals must leave a trail
Compensation and retry Failed entry generation or push is retried automatically and raises an alert
Period lock After close, business documents cannot alter a locked period
Business–finance reconciliation Order P&L is reconciled with finance data regularly, and differences can be reconciled

Frequently asked questions

We already have a finance system – do we need to replace it?

No. Tranexio acts as an upstream finance-business integration layer. Journal entries are pushed to your existing general ledger through the integration hub's finance connectors, which can connect to Yonyou, Kingdee, SAP, Oracle and others; each connection is tested within the project.

Won't posting on confirmation create lots of wrong entries?

Entries are generated by configurable mapping rules that differ by trade model and are reviewed before going live. Where a mapping is missing, the item goes to manual handling with a trail, and reversals follow a dedicated process – errors are never quietly changed.

How is agency business accounted for?

Agency fees are recognised as revenue on a net basis, and goods payments collected or paid on the principal's behalf go to current accounts rather than revenue and cost. The system applies the right account mapping from the trade model on the contract, so accountants do not have to judge each case.

Can I trace a journal entry back to the original documents?

Yes. Every entry is linked to the accounting event and business document that created it, so you can trace from entry to order and contract, or view all entries from the contract. Auditors no longer need to search across several systems.
